5. Our lawful bases

Under UK data-protection law, we must have a lawful reason for using your personal information. We generally rely on:

Contract: Where the information is needed to provide a quotation, take steps at your request before entering into a contract or complete agreed work.

Legal obligation: Where we must retain or provide information to comply with tax, accounting or other legal requirements.

Legitimate interests: Where reasonably necessary to operate and protect the business, manage customer relationships, respond to enquiries, maintain records, recover debts or improve our services, provided your rights do not override those interests.

Consent: Where you have specifically agreed to something, such as the publication of an identifiable testimonial or photographs of your property, or the use of optional website cookies. You may withdraw your consent at any time.

If you do not provide information needed to prepare or fulfil a quotation or contract, we may be unable to provide the requested service.

6. Photographs and project content

We may take photographs or videos to document progress, workmanship, product installation, defects or completed work.

We will ask for permission before using identifiable photographs, videos, reviews or testimonials for advertising, social media or our website. Wherever practical, personal possessions, people, house numbers and other identifying details will be excluded.

You may withdraw your permission for future use by contacting us. We will remove the content from platforms under our control where reasonably possible, although we may retain private copies where required for contractual, insurance or legal purposes.

7. Who we may share information with

Where necessary, limited information may be shared with:

  • Product suppliers, manufacturers and delivery companies.

  • Specialist trades or subcontractors involved in your project.

  • Accountants, bookkeepers, insurers and professional advisers.

  • Website, email, telephone, cloud-storage and IT service providers.

  • Accounting, banking and payment-service providers.

  • Government bodies, regulators, courts, law-enforcement agencies or HM Revenue & Customs where legally required.

  • Debt-recovery or legal services where necessary to recover payment or protect our legal rights.

These parties will only receive the information reasonably required for their role.

Our website is hosted by Squarespace. We may also use services including QuickBooks, banking providers, WhatsApp and social-media platforms to manage communications and business records. These providers process information according to their own privacy terms and data-protection responsibilities.

We do not sell or rent your personal information.

8. International data transfers

Some of our service providers may store or process information outside the United Kingdom. Where this happens, we take reasonable steps to ensure appropriate data-protection safeguards are used, such as UK adequacy regulations or approved contractual protections.

9. How long we keep information

We keep personal information only for as long as reasonably necessary:

  • Enquiries that do not lead to work will normally be retained for up to two years after the last contact.

  • Project correspondence, quotations, contracts and completion records will normally be retained for up to six years after the project ends.

  • Invoices, transaction details and accounting records will generally be retained for at least six years from the end of the relevant financial year, or longer where required by law.

  • Photographs and testimonials used with consent may remain in use until they are no longer required or permission is withdrawn.

  • Information relating to a dispute, warranty, insurance matter or legal claim may be retained for longer where reasonably necessary.

Information may be deleted or securely anonymised when it is no longer required.

10. How we protect your information

Reasonable technical and organisational precautions are used to protect personal information against accidental loss, unauthorised access, alteration or disclosure.

Access is limited to those who genuinely need the information for business purposes. However, no internet, email or electronic-storage system can be guaranteed to be completely secure.

  • Ask us to correct inaccurate or incomplete information.

  • Ask us to delete information in certain circumstances.

  • Ask us to restrict how information is used.

  • Object to processing based on legitimate interests or direct marketing.

  • Withdraw consent where processing is based on consent.

These rights are subject to certain legal exemptions. To make a request, email info@pinpointinteriors.co.uk. We may need to confirm your identity before releasing or changing personal information.

We do not use personal information to make decisions based solely on automated processing or profiling.
